From time to time you’ll need to change some of the details on the Recurring Donation record. The most common changes are to the structure of the gift including the amount, frequency of installment, number of installments etc.
To make these types of changes, first locate the supporter record.
In the Related section, locate the Recurring Donation section and open the record.
Note: There are many ways to locate the Supporter’s Recurring Donation Record, however this is the simplest way to locate it, especially if you are on the phone with the supporter.
Click on the link field to open the specific Recurring Donation.
It is common for a supporter to wish to change the amount that they are giving. An increase in the value they are giving is referred to as an Upgrade, while a decrease is referred to as a Downgrade.
Many organisations conduct upgrade campaigns whereby they periodically approach regular givers and ask them to increase the amount they are giving.
On the other hand, occasionally a supporter may contact your organisation and ask to either downgrade or even cancel their regular giving. In some cases, instead of canceling, the supporter may be convinced to downgrade rather than to completely terminate their gifts.
Another option is to pause their regular gifts schedule.
Note: For details on Pausing and Cancelling Recurring gifts refer to the section later in this module.
Let’s say that Stevie Nicks called to downgrade her recurring donation.
Performing an upgrade or downgrade of a regular gift is a simple process.
Remember that in Salesforce Recurring Donations are made up of two types of components.
First, there is the master record that defines the details of the recurring gift. When the Recurring Donation record is created, Salesforce also produces a series of individual opportunities for a certain number of gifts ahead of time. You can locate these opportunities by navigating to the related tab.
For example, in this case Salesforce was configured to produce the next 12 months worth of regular gifts, as since this donor is giving monthly, this means 12 future gifts. If we change the gift Amount on the master record, the individual opportunities will need to be refreshed and the amounts updated as well. To do this, locate the Quick Update button on the Recurring Donation Record.
Once the button is clicked, a small window will pop-up for you to revise the recurring donation record. For example, let’s say, Stevie wants to downgrade her present and future gifts to a lesser amount, $10 instead of the current $12. Change the Amount value.
When complete, click the Save button. This will refresh the present and future open opportunities’ Amount.
The previous Closed/Won Opportunities will not be changed nor will they be updated if any other field changes are made.
Note: There’s also a button called Refresh Opportunities, click this button if the Opportunities do not auto update from the changes that were made.
