The Fundraising Accelerator’s segmentation facilities offer the ability to allocate your supporters into groups that share similar characteristics.
There are many ways to select groups of contacts using a wide array of selection criteria, but one of the simplest and most efficient is to use the Segment fields on the Contact object.
Your org should have at least one segment field on the Contact object, however some orgs might use multiple segment fields, for example, one for giving, one for events and another for bequests.
These Segment values can be updated manually, but many orgs also have automatic processes that update these values for you automatically. This update processes can be developed for you and customised for your org’s particular needs by AlphaSys.
Please check with your trainer or system administrator to find out what, if any, automatic processes and what segment policies have been put in place for your org.
For now, we will take you through the process of allocating a segment manually for a contact.
First, locate the Segment field on the contact page.
Click on the Magnifying Glass or Pencil to select or change the segment a contact is allocated to.
Usually the Segment you want to allocate will be displayed in the pull-down list. Select the appropriate entry.
If you need to create a new segment, then instead click on the New Segment (PPlus).
Note that new segments should only be created with the authority of your campaign manager or system administrator. This is to prevent misuse of the segment field.
If you are creating a new segment, you’ll be presented with the New Segment window.
The key field to enter here is the Segment Name. Please make sure that the Segment Name you enter is descriptive.
The Segment Code and Description fields can be used to record additional information, but are optional.
In the Type field, you need to select the type of segment we are creating. In general, the default Segment field is linked to a segment type of Macro. Please check with your system administrator regarding this. If this is the case, select the Macro option before saving your new segment.
You should see that the new segment has now been save and stored against your contact.
If you ever want to see a list of contacts that have a particular segment code, you can do this very quickly.
In the App Launcher window, type in Segment.
You should see an item for Segments (PPlus), click on this item.
It should show you a list of all the segment codes in your system. Click on the segment that you are interested in, for example, Major Donors.
This will open the Major Donors segment.
Click on the Related field.
In the Contact section, you will see a list of all contacts that have been marked as Major Donors. If all contacts are not displayed, click on the View All button.
