Your Salesforce Fundraising Accelerator will have been set up with a range of standard field mappings for import processes. The standard field mappings are all listed elsewhere in this document but what happens if you have a custom field that you want to not only add to your Salesforce org but also include it in the Bulk Data Import process through the BDE items?
Fortunately, this is a simple process involving first adding the columns to the objects as fields in your Salesforce org followed by adding the mapping instructions in the BDE setup.
Let’s go through an example now.
Let’s say we have a third-party platform that is providing us with new leads. Leads are being imported as contacts into our org through a CSV file on a weekly basis but in addition to the standard contact details, name, address, phone number, email etc, we want to add a new field called Customer Reference to the Contact object and we want to provide a method of including this field in our BDE item mappings when we import the CSV file.
The CSV file looks something like this.
The first step is to use the Salesforce administration tools to modify the Contact object to add a new field. For detailed instructions on how to do this you should refer to the Salesforce Trailheads on this subject.
Here, you can see the Contact object with a custom field that has been added, called Customer Reference.
A similar field also needs to be added to the BDE Items object.
Now that we’ve added fields to our Contact and BDE Items objects, we need to tell our BDE Settings how to match this field.
In Pronto Giving Settings select Batch Donation Processing > BDE 2.0 > Item Record Mapping
In the Bulk Donation Entry Items Fields control, select the field added to the BDE Items object. In this case that is Customer Reference.
In the Object field select the object we are mapping to. In this case that is Contact.
In the Object Field field select the field we are mapping to. In this case that is Customer Reference.
Click on the Create Item Record Mapping button.
This will add your entry to the field mappings.
Next time you insert rows into the BDE Items object and include data in the Customer Reference column it will be migrated into the Contact Customer Reference column as per our definition.
