A Collection is another special type of transaction whereby a supporter, organization or even a collection location (think public collection boxes) has been responsible for receiving contributions from other people on your behalf. You will usually have no record of the individual donors. The transaction will need to be banked and cleared but no receipt is to be produced. However, we do need to have a way of recording the collection activity against the collectors’ contact or account record though.
The way to do this is to first process the transaction against the Anonymous account as a normal donation gift.
Locate the Anonymous account and use the Quick Donate to enter the payment details. Note that in this example the money has already been deposited into our bank account, and we don’t need a receipt.
Once you’ve completed and saved the donation opportunity, reopen it and navigate to the Related tab.
Navigate to the Contact Roles section and click on Add Contact Roles.
In the Search field, search for and select the contact who performed the collection.
Make sure that contact is selected and click on the Next button
In the Add Contact Roles window, specify a Role of Collector.
Note: If you do not see a role of Collector please contact your system administrator.
Click on the Save button. This will save this contact as being the collector of the funds you have entered. When the overnight processing completes, you’ll see that the funds you entered will have been attributed to them under the soft credits section.
